Who we are
Big Screen Hack is run by Video Stack Limited, a company registered in England and Wales (company number 16277101), 4th Floor, 14 Museum Place, Cardiff, CF10 3BH. Video Stack Limited is the data controller for the details described here. You can reach us at aaron@bigscreenhack.com.
Registering for events
You join Big Screen Hack London on this website, which creates your participant profile (see below). We use your registration to run the event, plan numbers for the launch, and contact you about it. Earlier events used Luma, which handles those details under its own privacy policy.
Judges
If you fill in the judge form, we collect your name, email address, job title, organisation, biography, the photos you upload, any social or website links you add, the tracks you're happy to judge and your signed judging agreement. We use these to organise the judging, contact you, and, once you've agreed, to show you as a judge on our website and in event promotion. We keep them for as long as we need them for that, and delete them if you ask.
Participant profiles
If you make a participant profile, we store:
- your profile details: your name, what you do, your headline, short bio and location
- your profile photo and the share card you make
- the links you add and the past work you list, with any images you upload for it
- your email address, which we use to send your sign-in codes and your partner credits, and to contact you about Big Screen Hack
- if you share your card, where you shared it and the link to your post, so we can unlock your partner credits
- your LinkedIn and Instagram, and whether you're coming to the launch in person or online
- if you joined through someone's personal link, who that was, so we can give you both any referral reward
Your profile is public.Everything except your email address, whether you're coming in person or online, and who referred you appears on your profile page and in our list of participants, where anyone can see it. Only add what you're happy to share.
If you choose Grab my LinkedIn photo, we copy the profile picture LinkedIn gives us (see Posting to LinkedIn below) and save it as your profile photo. You can replace it with a photo you upload at any time.
To sign in, you type in a 6-digit code we email you. After that, an encrypted cookie keeps you signed in on that device for up to 30 days, or until you sign out.
We keep your profile while participant pages are on this website. To have it deleted, email hello@bigscreenhack.comfrom the address you signed in with and we'll delete your profile, photos and sign-in account. We can hide your profile straight away while we do that.
Make your card
Our card page turns a photo you choose into a Big Screen Hack card you can share. To do that:
- Your cropped photo is sent to Runware, our image provider, to remove its background (judge cards) or to create the picture on your card (attendee cards). We don't save your photo or the finished card on our servers. The card is made in your browser and stays with you, unless you make it as part of a participant profile, when we save it with your profile.
- The name you type goes on the card. It is drawn in your browser and isn't stored by us.
Posting to LinkedIn
If you choose Post to LinkedIn, LinkedIn asks you to approve our app on its own screen. With your approval we receive your LinkedIn member ID, your name and profile picture, and permission to post on your behalf.
- We only post when you press the button, and only the card and the text you can see and edit first.
- We don't read your connections, messages or feed, and we never post anything else.
- If you choose Grab my LinkedIn photo, we save a copy of your LinkedIn profile picture as your participant profile photo.
- If you're signed in to a participant profile when you post, we save the link to your post with your profile to unlock your partner credits.
- The connection is kept in an encrypted cookie in your browser for up to one hour, then it expires. We don't keep it on our servers.
- You can remove our app's access at any time in LinkedIn under Settings, Data privacy, Permitted services.
Posting to TikTok, Instagram and X
If you choose to post your card to TikTok, Instagram or X from the share step, you sign in to that site on its own screen and approve the connection. We use Zernio, a posting service, to make the connection and publish the post. With your approval, Zernio receives your username and permission to post on your behalf.
- We only post when you press the button, and only the card and the text you can see and edit first.
- We don't read your followers, messages or feed, and we never post anything else.
- If you're signed in to a participant profile when you post, we save the link to your post with your profile to unlock your partner credits.
- The connection is kept in an encrypted cookie in your browser for up to one hour. We disconnect your account from Zernio as soon as your post is up, and anything left connected is removed after two hours.
- You can also remove access at any time in the app's own settings: in TikTok under Settings and privacy, Security, Manage app permissions; in Instagram under Settings, Website permissions; in X under Settings, Security and account access, Apps and sessions.
Checking your shared post
When you paste the link to a post to unlock your partner credits, we open the post to check it's yours to share and mentions Big Screen Hack. We use Claude, from Anthropic, through Runware, to read the post. If we can't open it (some sites hide posts from websites), we ask you for a screenshot of your post instead, and Claude checks it.
- We keep the link, the result of the check and, if you send one, your screenshot, with your profile.
- We may open the link again later to confirm the post is still up.
- Organisers can see these records, to make sure credits go to people who shared.
Contact and enquiry forms
When you use our enquiry form we use your name, email, organisation, message and any optional details you add only to reply to you and follow up on your enquiry. We keep a copy in our own database (Supabase, hosted in London), along with how you first found the site: the first page you visited, the site that sent you and any campaign tags in that link. Your browser remembers those three things on your device and only sends them to us if you send the form. To have your enquiry deleted, email aaron@bigscreenhack.com. If you ask the voting page to put you in touch with a film's creators, we use your name and email to make that introduction. We only add you to our newsletter if you sign up or tick the box to say yes. We keep your email, the date, the page you signed up on and the wording you agreed to, in our own database (Supabase, hosted in London), and every newsletter has an unsubscribe link. To leave the list at any time, email aaron@bigscreenhack.com.
Website analytics
We use Vercel Web Analytics to count page views and button clicks. It does not use cookies and does not identify you.
Who else processes your details
- Vercel hosts this website.
- Supabase stores judge form submissions, enquiries, participant profiles and photos, and runs participant sign-in.
- Postmark, which delivers sign-in codes and enquiry form messages.
- Runware generates the card images.
- LinkedIn, when you choose to post there.
- Zernio, and TikTok, Instagram or X, when you choose to post there from the share step.
- Anthropic, whose Claude checks shared posts and screenshots (through Runware).
- Luma, for registration to earlier events.
- Google, which stores voting page requests in Google Sheets.
Some of these providers may process data outside the UK, under the safeguards the law requires.
Your rights
Under UK data protection law you can ask to see, correct or delete the details we hold about you, object to how we use them, or ask us to stop. Email aaron@bigscreenhack.comand we'll reply within a month. If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk.
